How to Prepare a Product Brief for Small Appliance Development
A Simple Brief for Portable Fan Projects
You do not need complete drawings or final technical specifications before discussing a portable fan project with a manufacturer. A sketch, reference product, function list or initial idea can be enough to begin.
The following form is a guide rather than a compulsory checklist. Please provide as much confirmed information as possible, but you do not need to complete every field. If some specifications have not yet been decided, write “To be discussed” or leave them blank. The manufacturer can help define the missing technical requirements during the requirement and feasibility assessment stage.
Providing more available information helps the manufacturer understand the product direction, identify possible conflicts, estimate the development scope and prepare a more realistic quotation and schedule.
Form 1: Information to Provide Whenever Possible
| Requirement | What to Provide | Portable Fan Example |
|---|---|---|
| Product type | State the type of fan you want to develop. | Handheld fan, desktop fan, neck fan, waist fan, clip-on fan, camping fan or mist fan. |
| Development route | Indicate how much customization is required. | Existing product with logo and color changes; platform-based housing modification; completely new product. |
| Target market | List the country or region where the product will be sold. | South Korea, Japan, the EU, the United States or another market. |
| Sales channel | Explain where the product will be sold. | Korean e-commerce, lifestyle retail, supermarkets, outdoor stores, Amazon or promotional channels. |
| Target user | Describe the main customer group. | Korean brand customers targeting young commuters, office users, outdoor workers or camping users. |
| Usage scenario | Explain where and how the fan will mainly be used. | Handheld during commuting, placed on an office desk, worn around the waist or used inside a tent. |
| Problem to solve | Identify what should be improved compared with existing products. | Smaller body, stronger airflow, lower low-speed noise, easier cleaning or more convenient controls. |
| Reference product | Share links, samples, sketches or images and explain what you like or dislike. | Keep the compact size of Product A, but improve the grip and battery display. |
| Must-have functions | List the functions that cannot be removed. | Type-C charging, digital display, oscillation, timer, mist, cooling plate or lighting. |
| Preferred or optional functions | List functions that can be adjusted if they affect cost or size. | Stepless speed control, memory function, removable grille, phone stand or decorative light. |
| Airflow requirement | Provide a target, test condition or reference sample whenever available. | Match the maximum airflow of the supplied sample at the agreed distance. |
| Noise priority | Explain which operating condition should feel quiet. | Comfortable low-speed use in an office; maximum-speed noise is less important. |
| Battery and runtime | State the desired runtime, charging input or battery preference. | At least 8 hours at low speed and 2.5 hours at maximum speed; Type-C 5V/2A input. |
| Size and weight | Provide maximum dimensions, weight or portability limits. | Finished weight below 180 g and suitable for a small handbag. |
| Controls and display | Describe the preferred buttons, adjustment method and display content. | One-button power control, roller speed adjustment and battery-percentage display. |
| Appearance and CMF | Share colors, finishes, mood boards or brand guidelines. | Matte housing, low-saturation light blue and warm gray, minimal visible fasteners. |
| Logo and branding | Provide the logo file, preferred position and printing direction. | Pad-printed logo on the front body and brand mark on the color box. |
| Compliance direction | State the destination market and known certification or labeling needs. | Assess the applicable safety, battery, labeling and documentation requirements for South Korea. |
| Packaging and accessories | List the expected packaging, manuals and accessories. | Color box, Korean manual, Type-C cable, lanyard and barcode label. |
| Target cost | Provide a target purchase price or acceptable range whenever possible. | Target FOB range or a reference product at a similar price level. |
| Estimated quantity | Provide the expected first order and annual volume. | First order: 5,000 units; estimated annual volume: 30,000 units. |
| Tooling budget | State whether a tooling budget has been planned. | Budget available for a new housing mold; final scope to be evaluated. |
| Project schedule | Provide the desired sample, production and launch dates. | Appearance proposal in October, production approval in January and Korean launch in March. |
| Approval contact | Identify who will confirm appearance, functions and tooling. | Product manager approves specifications; brand director approves CMF and appearance. |
Important Note About Performance Requirements
Avoid using only broad terms such as “strong,” “quiet,” “lightweight” or “long runtime.” When possible, provide a number, test condition or reference sample.
| General Request | More Useful Description |
| Strong airflow | Match or improve the supplied reference fan at the agreed measurement distance. |
| Quiet operation | Prioritize comfortable low-speed operation for office use. |
| Long runtime | At least 8 hours at low speed and 2.5 hours at maximum speed. |
| Lightweight | Finished product weight should not exceed 180 g. |
| Easy to carry | The folded product should fit inside the specified handbag compartment. |
If exact values are not available, the manufacturer can help propose realistic targets after reviewing the product size, motor, battery, cost and usage scenario.

What Can the Manufacturer Help Define?
Buyers are not expected to decide every engineering detail. After understanding the product direction, the manufacturer can help propose:
-
Motor and blade solution
-
Air-duct and internal structure
-
Battery-cell model and PCB layout
-
Plastic materials and assembly method
-
Safety-protection solution
-
Prototype plan and tooling scope
-
Practical performance targets
The first discussion is intended to turn the available information into a clear development direction. It is not necessary to freeze every specification immediately.
What Happens After the Brief Is Submitted?
The manufacturer will review the available information, identify missing or conflicting requirements, recommend a suitable customization route and prepare an initial solution, quotation range and project roadmap.
